Claremont, CA – May 1, 2009 – Claremont Graduate University implemented
Helios for managing students in their teacher education and credential programs
and for doing students' evaluations online. The Fiske Guide called the prestigious university
"a collection of intellectual resources unmatched in America".
Claremont administrators are excited about the new poosibilities with Helios. Lisa
Loop, director of Teacher Education program at Claremont, envisioned a new generation
way to manage their student interns' credentials and even do their evaluations online.
"Education is in a new era of data use. Data is increasingly driving decisions,"
said Loop.
Managing student interns in a teacher education program is vastly different and
is more specialized than managing other university students, which is why Claremont's
regular student information system could not serve the school's purpose.
The challenge at the school was too much paper and lack of efficient tools to help
staff manage students leading to wasted time and costs. Faculty must conduct student
intern evaluations every few months using different rubrics. They used to do evaluations
on paper and input the results in statistical tools to make sense out of them. These evaluations get
added into student files on top of other student credential program information.
The school had developed a FileMakerPro system but it proved insufficient to handle
the school's growing needs.
Helios is going to help slash paper use and save thousands of dollars every year
in paper costs alone. Now all evaluations will be done online in easy to use rubric
templates and student demographic and credential program information will be managed
securely online. "With Helios, data is usable from the get go; we can use this information
to inform our program, instead of relying on a thousand different files. Moreover,
Helios is also expected to save us significantly in time, paper, and storage costs."
said Loop.
Ready reports in Helios serve the needs of staff and faculty for
state reporting and planning purposes. For example, Director Loop will be able to aggregate
evaluation results for all of her students, spot trends, and make decisions on student
development.
Thanks to this online management and reporting, it is estimated that Claremont will
save 50% to 60% of their time spent on data reporting and student evaluations.
Designed for university and college teacher education programs, Helios is a highly
useful tool in the hands of administrators and faculty. The accompanying paperless
module called DocWonder enables schools to scan and access paper documents quickly,
saving several thousand dollars in storage, copying, and printing costs. Documents
are linked to online student profiles and can be searched on document number, date,
key tag, category, and other parameters.
